Define your own Word Templates and adapt existing
 

IntelliAddress users can choose between a set of predefined templates. In many cases these templates can be directly used, sometimes it is necessary to adopt them or create new ones.

 

How to change the existing templates?


This can be useful to add a company logo, change the design slightly or fill the templates with your own predefined text. Please complete these steps to change a template:

  1.  Click on Create letter in the menu IntelliAddress in Outlook
  2. Choose the template in the left window, which you aim to change
  3. Click on Edit in the menu and than on Adopt Template ...
  4. Adopt the template to your personal needs inside the than opened Word Editor
  5. Save the file in word

The template is changed now and you can create new documents based on this template with IntelliAddress.

 

How to use the address data placeholders?

 

While editing the template as written in the last paragraph, you probably noticed the placeholders for the address data:

...
«CompanyName»
«Firstname» «Surename»
«Street»«StreetNumber»
 «AreaCode» «City»
...

These placeholders will be filled by IntelliAddress with value depending on the contact you have choosen. You can place these placeholders on any position in the document. To see what placeholders are defined and to add them you need the toolbar Mail Merge.  (Extra -> Adopt -> Mail Merge). On the new toolbar choose the 6'th button from the left:
 

 

 

How to create new templates?


You can also create new templates and make available in IntelliAddress though the menu Create Letter.

Therefore open the Windows Explorer and open the folder IntelliAddress Templates under My Documents. here you find the existing templates. Before creating your own templates the best would be to create a new directory for them e.g. "My" or "Marketing". To add a new template you can choose a existing one that most closely fit to your ideas. Alternatively you can create a new Word document and complete it with the above described placeholders.

After restarting Outlook you can use the templates in IntelliAddress (IntelliAddress -> Create letter)!
